I need to assign access to my filebox or Web hosting site to non-Virginia Tech affiliates. How can I do this?

There are two ways you can assign access to your filebox or hosting site to non-Virginia Tech affiliates:
  • Assign access to everyone.
  • Assign access to specific non-Virginia Tech affiliates.

To assign access:

  1. Log on to your filebox or to your Web hosting site.
    • To log on to your filebox: Go to the Filebox page (https://admin.filebox.vt.edu/), and log on with your PID and password.
    • For instructions on logging on to your hosting site, refer to Logging On to the Web Administration Tool (http://answers.vt.edu/kb/entry/2624/)
  2. Under Read Access, click the link that corresponds to the folder to which you want to assign access privileges.

    Notes:
    • The link will be labeled according to either the type of access you have assigned the folder in the past or the default access type. The access types are everybody, authenticated users, or administrators.
    • To assign the same access to all folders in your filebox or hosting site, complete the following steps:
      1. Under the Read Access column, click the link to the right of Home.
      2. Place a check in either the Read (Webbrowser) check box beside Everybody (No Password Prompt) or All VT PID.
      3. Click the Apply Changes to this Folder AND All Sub-Folders (Replace the Existing Access Restrictions) button.
      4. Click OK.

  3. Create a non-Virginia Tech user ID.

    Note: If you want to assign access to everyone, skip this step.
    1. Beside Users Without VT PIDs, click the Add New User button.
    2. In the User-ID text box, type a user ID for the person.
    3. In the Full Name text box, type the person's name. This is just for your reference.
    4. In the Password text box, type a password for user ID.
    5. In the Password (Repeated) text box, type the password again.
    6. Click OK.

  4. Assign access:
    • To assign access to everyone, place a check in the Read (Webbrowser) check box to the right of Everybody (No Password Prompt).

      Caution: If you assign access to everyone, search engines will start indexing your content and your site may appear in search results. Your site will be available to everyone worldwide.

    • To assign access to specific non-Virginia Tech users, complete the following:
      • To assign read access, place a check in the Read (Webbrowser) check box to the right of the user.
      • To assign write access, place a check in the Write (WebDAV) check box to the right of the user.
  5. Click OK.
  6. Give the person to whom you assigned access the User ID and password you created, as well as the URL of your filebox or hosting site. The User ID is "filebox.[User ID]" or "hosting.[User ID]".

    Notes:
    • Replace [User ID] with the User ID you assigned.
    • The person to whom you assigned access will need to use this User ID when connecting to your filebox or hosting site.
    • The person to whom you assigned access will not be able to access your site directly through the Filebox administration page.

  7. The person without the PID must set up Web Folders in Windows or Goliath for Mac OS in order to have write access to your filebox or hosting site. For detailed instructions, refer the person to the appropriate article below:
